How to activate a Microsoft product key (and what to do when it fails)

Most activation problems are one of four things, and all four are fixable. Here is the process, then the failures.
Activating Office
- Go to office.com/setup and sign in with the Microsoft account you want the licence attached to. Choose this account carefully — for retail licences the product ends up tied to it.
- Enter the 25-character key.
- Pick your country and language, then choose Next.
- Download the installer it offers and run it.
If Office is already installed, open any Office app, go to File → Account → Activate Product, and enter the key there.
Activating Windows
- Settings → System → Activation.
- Choose Change product key.
- Enter the 25-character key and select Next.
If Windows will not activate over the internet, use phone activation: press
Win + R, run slui 4, and follow the automated prompts.
The four failures worth knowing
"This key has already been used." The activation pool is exhausted. On a retail key this usually means it was activated elsewhere and never released. On a MAK volume key it means the activation count has run out. Either way, contact whoever sold it to you — this is not something you can clear from your end.
"This key is not valid for this edition." A Home key will not activate Pro,
and vice versa. Check Settings → System → About for the edition you actually
have installed. You either need a matching key or a different Windows edition.
"Error 0xC004C003" — the server determined the key is blocked. This is usually a key that was reported or revoked upstream. Again: back to the seller.
Activation worked, then stopped after a hardware change. You had an OEM or BIND licence, not retail. Replacing a motherboard ends an OEM licence. See our guide on licence types for the difference — it is the mistake that costs people the most.
Before you contact support
Have these ready and any support conversation gets much shorter:
- The exact error code, not a paraphrase
- The edition and version you are trying to activate
- Whether the key has ever activated successfully before
- A screenshot of the activation screen
